New Smart Proxy Tool Now Available for Ontario Condominium Owners

Under the Condominium Act, 1998, unit owners may vote at meetings of owners by appointing a proxy. Proxies must be completed using the prescribed form set out in Ontario Regulation 48/01, which has been the proxy form published on the Condominium Authority of Ontario (CAO) website since 2019.

In the past, owners were required to manually download and complete the proxy form, which often led to errors due to the technical nature of the document.

To help address this issue, the CAO launched a Smart Proxy pilot program on July 8, 2025.

Using the Smart Proxy tool, unit owners can now visit the CAO website, answer a series of guided questions, and have the proxy form automatically completed for them. Once finished, the form can be printed and signed for submission.

This new tool is designed to reduce the number of proxies that are disqualified due to errors and to make it easier for owners to participate in meetings and the democratic process within their condominium communities.

Owners, directors, and condominium managers who have used the Smart Proxy tool are encouraged to share their feedback with the CAO.
